Presentation and Communication Skills For Phone Meetings
This is a special training for small groups and teams who want to be more effective at holding phone meetings or video teleconferencing meetings.
Format: Two ½ day trainings – each consisting of four 1-hour modules.
Goal: The goal of this ½ day workshop is for participants to learn the format they’ll use for effective phone meetings, and learn and practice a set of essential communication skills to make phone meetings effective.
1. Planning The Phone Meeting - 1 Hour
This module will introduce a basic outline to use as a guide for conducting effective phone meetings. Participants will receive an agenda, learn how to introduce it and lead others through the sequence of topics while keeping everyone on track.

2. Essential Telephone Meeting Communication Patterns – Part A – 1 Hour
a. Issues that come up in phone meetings and how to respond to them
b. How to make sure every one feels heard
c. Back tracking to ensure accuracy of communication
d. How to ensure the accuracy of artwork and visuals

3. Essential Telephone Meeting Communication Patterns – Part B – 1 Hour
a. How to build the appropriate follow up into every meeting
b. Email follow up
c. How to pre-plan for the next meeting
d. Techniques for maximizing the effectiveness of all your telephone meetings

4. Role Play and Rehearsal - 1 Hour
In this module, we’ll role-play a phone meeting using the new skills you’ve learned. Participants will have a chance to practice the specific language, communication patterns and insights they’ve learned and make them their own.

Format: Two of two ½ day trainings – each consisting of four 1-hours modules.
This workshop should be held shortly AFTER your first phone meeting.
1. Open Frame - 1 Hour
We’ll put the most critical issues from previous phone meetings on the white board:
a. Review of what worked – strengths to repeat and do again
b. List of things that didn’t work or should be improved
c. Identify specific skills people need to improve or want help with
d. Identify the single biggest issue that needs to be resolved/improved

2. Prioritize The Issues – 1 Hour
This module will concentrate on clarifying and prioritizing the specific communication, organization and presentation changes that will make the biggest positive improvement in future phone meetings.

3. Additional Resources - 1 Hour
A specific set of communication skills, language patterns and other solutions will be the core of this module. They will provide solutions to every major challenge and difficulty that came up during previous phone meetings.
Special attention will be given to the biggest issue that participants feel is important and need a solution for.

4. Role Play – 1 Hour
In this module we’ll rehearse and role play the new skills, practice the new language patterns and make certain the improvements are clear so everyone knows what to do different on future phone meetings.
